# HubSpot Integration Settings

### Overview

Sync settings control what happens to a lead the moment it syncs to HubSpot. You can add every lead to a HubSpot segment, register leads against a HubSpot marketing event, decide which team members the integration applies to, and choose whether syncing happens automatically or manually.

These settings can be configured on a full team integration or on an event level integration. The options are the same in both cases.

### Who This Is For

Event marketers and account admins who manage the HubSpot integration in Popl. You need admin access in Popl to edit integration settings, and the HubSpot user who connected the integration needs permission to create and edit segments and marketing events.

### Before You Start

* A connected HubSpot integration in Popl
* Admin access to your Popl team
* An event created in Popl, if you are configuring an event level integration

All settings on this page are optional. You can save the integration without configuring any of them.

## Sync Settings

### Authorization

This section displays details on who authenticated the integration and when:

* **Integration User:** The email address of the HubSpot user who connected the integration
* **Connection Date:** The date the integration was initially connected
* **Authorization Date:** The date the integration was authorized to access HubSpot

### Popl Settings

**Integration Assignment.** Choose which team members this integration applies to. You can assign it to the **full team** or to a specific **subteam**, depending on whose leads should sync into HubSpot.

**Auto Sync.** This toggle controls how Popl leads flow into HubSpot.

* **Auto Sync on (recommended).** Every new lead captured by an assigned team member is pushed to HubSpot immediately. No manual selection, no data entry, and follow-up can start while the event is still running.
* **Auto Sync off.** Leads are not sent automatically. Admins or members choose which leads to sync. Use this if your team wants to review or qualify leads before they reach HubSpot.

Segment and marketing event settings apply either way. A lead added manually gets the same segment membership and marketing event status as one synced automatically.

### HubSpot Settings

**Segment.** Choose a HubSpot segment that every synced lead is added to. This is useful when you want a clean list of everyone captured at a specific event without building filters in HubSpot afterward.

1. Open the **Sync Settings** tab of your HubSpot integration.
2. Click the **Segment** dropdown.
3. Search for and select an existing segment.

Only static segments appear in the list. Active segments are excluded because their membership is controlled by HubSpot filter criteria and cannot be added to directly.

**To create a new segment from Popl:**

1. In the **Segment** dropdown, select **Create new**.
2. The segment name is pre-populated with your event name. Edit it if you want something different.
3. Optionally, use the **Campaign** dropdown to search for and select an existing HubSpot campaign to add your new Segment to.
4. Click **Create**.

The new segment is created in HubSpot and selected in Popl automatically.

**Marketing Event.** Choose a HubSpot marketing event to associate your synced leads with. Every lead that syncs is added to the marketing event with the status you select.

1. Click the **Marketing Event** dropdown.
2. Search for and select an existing marketing event.

**To create a new marketing event from Popl:**

1. In the **Marketing Event** dropdown, select **Create new**.
2. The event name is pre-populated with your Popl event name, and the start and end dates match your Popl event dates. Edit any of these if needed.
3. Optionally, use the **Campaign** dropdown to search for and select an existing HubSpot Campaign to add your new Marketing Event to.
4. Click **Create**.

**Setting the status**

Once a marketing event is selected, a **Status** dropdown appears. This determines the status applied to each lead in HubSpot.

You have two options:

* **Use a fixed status.** Select **Attended** or **Registered**. Every lead synced through this integration gets that status.
* **Use a Popl field.** Select a Popl field instead, and the status comes from that field's value on each individual lead. Use this when some leads attended and others only registered.

If you use a Popl field, the field value on the lead needs to match a supported status. Leads with an empty or unrecognized value still sync to HubSpot as contacts but are not added to the marketing event.

**Create Notes.** Notes from the Popl lead sync to the Notes object associated with the Contact. This is separate from custom field mapping.

**Create Tasks.** When enabled, completed Tasks are created on the Contact and assigned to the Popl user who captured the lead. See [docs.popl.co](https://docs.popl.co/introduction/integrations/hubspot-integration/create-hubspot-tasks) for more details.

### Save Your Settings

Click **Save** in the top right corner of the integration configuration page. Changes apply to leads synced after saving. Leads that already synced are not retroactively added to a newly selected segment or marketing event.

### What to Expect

After a lead syncs, you should see the following in HubSpot:

* A contact record for the lead. Popl dedupes at the contact level, so an existing contact is updated rather than duplicated.
* The contact listed as a member of your selected segment.
* The contact listed on your selected marketing event with the assigned status.

To confirm a sync worked, open the lead in Popl and check its sync status, or open the contact in HubSpot and check its segment memberships.

If a lead does not appear, check **Sync Logs** in Popl for the specific error on that lead.

### Troubleshooting

| The segment I want is not in the dropdown                              | Only static segments can be selected. If yours is an active segment, its membership is controlled by HubSpot filters and cannot be written to. Create a static segment instead.                         |
| Leads are syncing as contacts but not appearing on the marketing event | Check the **Status** setting. If it is set to a Popl field, leads with an empty or unrecognized value in that field are skipped. Switch to a fixed status of **Attended** or **Registered** to confirm. |
| Leads captured before I changed these settings are not in the segment  | Segment and marketing event settings only apply to leads synced after you saved. Add earlier contacts to the segment directly in HubSpot.                                                               |
| No leads are reaching HubSpot at all                                   | Confirm **Auto Sync** is on and that the capturing team member falls within your **Integration Assignment** selection. Then check **Sync Logs** for errors.                                             |
| Creating a new segment or marketing event fails                        | The HubSpot user who connected the integration needs permission to create segments and marketing events. Check that user's permissions in HubSpot.                                                      |

### FAQ

**Do I have to set a segment and marketing event?**\
No. Both are optional. Leads still sync as contacts without them.

**Can I use a different segment for each event?**\
Yes. Configure the integration at the event level and select a different segment on each one.

**What is the difference between a segment and a campaign here?**\
The segment is the list your leads are added to. The campaign is an optional HubSpot container you can attach a newly created segment to at creation time. Popl only writes leads to segments, not directly to campaigns.

**Can I change the status after leads have synced?**\
Changing the **Status** setting affects future syncs only. Update existing records in HubSpot directly.
