Connect VinSolutions to Popl Teams for converting Popl leads to VinSolutions leads

In this document, we will provide a step by step walkthrough of how to setup our direct integration with VinSolutions! This integration will allow your team to instantly sync leads from Popl as leads in your team's VinSolutions account.

This integration will automatically connect to the fields below, with no additional configurations needed:

  • First name

  • Last name

  • Email

  • Job Title

  • Company name

  • Phone number

  • Lead Source: Popl

  • Lead Owner (will be the member that connected with that lead via Popl)

Connecting your VinSolutions Account

  1. First, from the home page of Popl Teams, click into the "Integrations" tab. Then find the section for VinSolutions (CRM Section) and click on the VinSolutions card to connect.

  • If you've already connected VinSolutions at any point before, the card will appear in the “Connected” section instead. Go ahead and find it there instead if that is the case.

  1. Next, you will be taken to the connect page as shown below. Choose if you want to connect the integration for your entire team or certain subteams. Once you’ve made your selection click on “Connect Integration”

  1. After clicking connect, you’re met with the pop-up below that prompts you to enter your VinSolutions Dealer ID. This Dealer ID is essential to syncing leads with your account on VinSolutions. Enter your Dealer ID and click “Connect"

  1. After entering your Dealer ID, you will get visual confirmation that the connection has been made and you will be taken right to your VinSolution connection’s configuration page.

    • In the configuration page you can make changes to your Default VinSolutions User

    • When a lead is synced from Popl to VinSolutions, we will check if the Popl user who collected the lead exists in your VinSolutions account (based on email address)

    • If we are not able to find a match, we will assign the lead to the default set in this dropdown.

Syncing Leads to VinSolutions

  1. Now that your VinSolutions is connected, there are 2 options for workflows that you can turn on:

  • AUTO SYNC - Convert Popl Leads into VinSolutions Leads The Auto Sync workflow will automatically sync leads from Popl to VinSolutions at the very moment that any member of your team captures a new lead via Popl. This workflow completely removes any sort of manual data entry and lead selection, saving your team time and creating incredible efficiency.

  • Convert Popl Leads into VinSolutions Leads The normal sync workflow is for teams that want an admin or member(s) to choose which leads that they would like to sync over to VinSolutions before they are synced. This workflow has more control than the auto sync as admins/members can decide exactly which leads should be synced and which leads shouldn't be.

Lead Syncing Logic

When syncing Popl leads from Popl over to VinSolutions, we use specific logic to make sure that contact info is synced over correctly, saving you and your team time and manual effort. Below, we've outlined this logic in detail for both our lead sync and contact sync so that the process is clear.

Syncing to VinSolutions Leads

When syncing Popl leads to your VinSolutions as lead records, the integration will first perform a read operation to see if the lead already exists in your VinSolutions account. This search (query) uses the lead's "email" and the lead's "phone number" as primary keys to match with any existing record already in your VinSolutions account. Based on the search, two flows can be taken:

If No Lead is Found (Create New):

If no lead is found from this initial search based on email and phone number, then the integration will proceed to create a new lead record.

If an Existing Lead is Found:

If a lead is found with this specific email or phone number, then the integration will not create a new lead in VinSolutions.

Once your desired workflow(s) are enabled and your customization is complete (customizing is optional), you are all set! Now you or your team can export leads at any time from the Popl Dashboard or the Popl mobile app to your VinSolutions account.
